1. Data controller
The controller is Silma Tools Sp. z o.o., ul. Braci Mieroszewskich 132, 41-219 Sosnowiec, Poland, tax identification number NIP 644 25 05 349.
For personal-data matters, contact biuro@silma.pl or write to the registered address. The controller has not appointed a data protection officer.
2. Contact and quotation enquiries
When you use the form, telephone us or send an email, we may process your name, email address, telephone number, company name, enquiry details and data included in supplied documentation.
We process these data to respond and correspond under our legitimate interest in handling enquiries (Article 6(1)(f) GDPR); to prepare a quotation or take pre-contractual steps where applicable (Article 6(1)(b) GDPR); and to establish, pursue or defend legal claims under Article 6(1)(f) GDPR.
Providing data is voluntary, but fields marked as required are necessary to handle the enquiry. Please do not include personal data in attachments unless needed to assess the project.
3. Retention
Enquiries that do not lead to cooperation are retained until contact ends and for no longer than 12 months afterwards. If a quotation, order or contract follows, data may be retained for the cooperation period, statutory obligations and applicable limitation periods.
4. Recipients
Data may be accessed by authorised Silma Tools personnel and providers of IT support, hosting, email, backup or system maintenance. They may also be disclosed to professional advisers or competent authorities where legally required. We do not sell personal data or disclose it for independent marketing purposes.
5. Transfers outside the EEA
The basic operation of this website and form is not intended to transfer data outside the European Economic Area. If this changes, an approved GDPR transfer mechanism will be used and this policy updated.
6. Your rights
Subject to the GDPR, you may request access, a copy, correction, erasure, restriction, or—where applicable—portability of your data, and object to processing based on legitimate interests. Requests may be sent to biuro@silma.pl. You may also lodge a complaint with the President of the Polish Personal Data Protection Office.
7. Technical logs and cookies
The server may record technical connection data such as IP address, request time, requested resource, browser information and response code for security, diagnostics and website operation. The current website does not use analytics, advertising or marketing cookies.
We keep aggregate monthly totals of forms accepted for email sending, grouped by service category. This server-side counter stores no customer details, IP addresses, visitor identifiers or browsing history. It uses no cookies or browser storage and sends no data to external analytics services.
8. Automated decisions
Data supplied through the form are not used for automated decision-making or profiling that produces legal or similarly significant effects.
9. Changes
This policy may be updated when the website, services or legal requirements change. The current version and effective date will remain available on this page.
